Recording a discount into an invoice that has already been recorded in QuickBooks requires the creation of a discount item. Once applied, the discount item applies to the item on the line directly above its placement. Discount items should only be used on invoices and should not be applied to sales items or discounts taken directly at the register. You can provide your client with a percentage or absolute dollar amount that discounts the total price of an item.
Create a Discount Item
1.Click the 'Lists' menu and select 'Item List' from the drop-down menu in QuickBooks.
2.Click the 'Item' button and 'New' at the bottom of the Item List.
5.Provide a description of the discount. The description shows up on the sales form after applying it to the invoice.
6.Type a percentage or fixed dollar amount for the discount in the 'Amount of %' field. Type a percentage with the '%' field after the number. You may leave these fields blank and apply the percent or fixed discount amount directly into the invoice later.
7.Click the 'Account' drop-down arrow and select the appropriate income account for the applied discount.
8.Select the 'Tax-Code' drop-down arrow and apply the appropriate tax code, if relevant to your service or product. Some states don't require taxes on certain products or services, so check with your accountant.
Applying the Discount
1.
Launch the 'Customer Center' from the Customers drop-down menu in QuickBooks.
2.Select the sales invoice that requires a discount.
3.Right-click the line directly after the discount item. Select 'Enter Discount Item' from the drop-down menu and choose the discount you want to apply. To apply the discount to all of the items on the sales form, enter the discount item below the Subtotal line.
